ELEM Construction

Privacy Policy

Draft for review. The outstanding details below must be confirmed before publication.

Who we are

This website uses the trading name ELEM Construction. The current legal identity of the business responsible for enquiry information must be confirmed before this draft policy is approved for publication.

Our provisional privacy contact is elemconstruction@gmail.com. This address needs confirmation by Louis before launch.

Information we collect

The Get a Quote form collects your name, email address, phone number, type of work and description of the job. Your town or postcode is optional. We also record the submission time, enquiry status and notification status, with identifiers to prevent accidental duplicate submissions.

For abuse protection, the website uses a hashed connection IP address and a submission counter to limit repeated enquiries. This is separate from analytics. Please avoid including sensitive information in your message unless it is necessary to discuss your enquiry.

How we use information and our lawful bases

  • To reply to your enquiry and discuss potential building work. The proposed UK GDPR basis is taking steps at your request before entering a contract, where applicable. ELEM must confirm the basis for enquiries that do not fall within this purpose.
  • To prevent spam, duplicate submissions and misuse of the form. Legitimate interests in securing the website is the proposed basis, subject to ELEM confirming and documenting the assessment.
  • To understand website visits and enquiry interactions through Google Analytics 4, only with your consent. You can withdraw consent using Cookie preferences.

The form does not sign you up for marketing. The proposed lawful bases above remain subject to review, rather than statements of confirmed legal compliance.

Storage, access and enquiry emails

Enquiries are saved in the website's Lovable Cloud database before any email is attempted. Public website visitors cannot read, edit or delete these records. Access is through authorised project management access and the restricted enquiry handling service.

The planned internal notification includes the submitted details and uses your email as Reply-To. A customer confirmation summarises the enquiry and says ELEM will be in touch, without promising a response time. An email failure does not remove the saved enquiry.

Pre-launch testing is not production delivery: both messages are intended for jordon@jb-digital.uk, not the address entered on the form or ELEM's production inbox. Sending remains unavailable until the verified sender is linked and tested. Test submissions should use test details.

Service providers and data sharing

The website uses Lovable for hosting and Lovable Cloud for enquiry storage. App emails will use Lovable's managed email service once enabled. Google processes optional Google Analytics 4 information. Notification inboxes are also handled by their email providers; ELEM's intended internal inbox is Gmail, provided by Google.

The actual underlying hosting, database and email delivery providers, inbox arrangements and applicable contracts need confirmation before publication. We have not asserted a particular storage country, provider safeguard or international transfer mechanism without verification.

Where a provider processes information outside the UK, ELEM must confirm the relevant destinations and lawful transfer arrangements, and complete this policy with that information.

Analytics and cookies

Google Analytics is not loaded until you accept optional analytics. The website sends page paths and fixed events for saved enquiries, phone and email link clicks, and quote link clicks. It does not deliberately send form names, phone numbers, email addresses, postcodes or messages to Google Analytics.

Google also processes technical information associated with analytics requests. Advertising storage, advertising personalisation and Google signals are disabled in the website configuration. See our Cookie Policy for browser storage and your choices.

How long information is kept

The current instruction is to keep all enquiries. No automatic deletion schedule or approved retention period is configured. Indefinite retention needs review against the UK GDPR requirement to keep personal information no longer than necessary. ELEM must confirm a justified retention approach before this policy is ready for publication.

The abuse protection counter resets when another submission arrives after its one-hour window; this is not a deletion schedule for the hashed identifier. Its retention, email copies, provider logs and backups also need review. Google Analytics account-level retention settings have not been verified.

Your data protection rights

Depending on the circumstances and lawful basis, you may have rights to access your information, correct it, request deletion, restrict processing, object to processing or receive certain information in a portable format. These rights are not absolute. You can withdraw analytics consent at any time without affecting the lawfulness of earlier consent-based processing.

To make a request or raise a privacy concern, contact elemconstruction@gmail.com (provisional). ELEM may need to verify your identity before handling a request. Deleting a database record alone does not necessarily delete email copies or provider backups.

You can complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint.

Before this policy is published

Confirm the current legal identity of the business, privacy contact, lawful bases, retention approach, provider and international transfer details, email delivery arrangements and Google Analytics account settings. This draft does not replace a review of ELEM's actual business practices.
